Understanding eSignature folders in Snapdocs RON (formerly Pactima)
eSignature folders in Snapdocs RON (formerly Pactima) serve as an organizational tool, helping you categorize and store your packages in a structured way. These folders are not just about keeping your packages in order; they also play a crucial role in enhancing collaboration and visibility. In addition to organizing your packages into folders, you can more easily collaborate with team members, both within and outside your team, and maintain a clearer overview of ongoing transactions.
## Membership roles and permissions
Understanding the roles and permissions associated with eSignature folders is important for maintaining the right balance between accessibility and security.
### Read Access
- **Definition**: This permission level allows a member to see *and* administer only the items in a folder that belong to them.
- **Use Case**: This is ideal if you need to manage your individual packages without accessing or modifying other team members’ work. It supports independent work while maintaining privacy and reducing the chance of accidental changes to someone else’s documents.
### Write Access
- **Definition**: A user with write access can see all items in the folder and assign items within it.
- **Use Case**: This permission is suited for team leaders or managers who need to oversee and coordinate work within the folder. They can view all packages, regardless of the current owner, and reassign tasks as necessary.
## Ownership management
An important aspect of using eSignature folders in Snapdocs RON (formerly Pactima) is document ownership. While folders provide enhanced visibility and organization, there are important rules around editing and administration.
Snapdocs RON (formerly Pactima) is designed to prevent concurrent edits to ensure data integrity and avoid conflicts. Because of this, only the current owner of a document or package within the eSignature folder can edit or administer it.
For example, if a document requires a **Live eSignature** transaction or an **eNotary RON** transaction, only the owner of that document at that time can facilitate those processes.
If you need to take over administration of a package, Snapdocs RON (formerly Pactima) provides a **claiming** process. This means transferring ownership of the document to yourself. If you are the current owner and need someone else to handle it, you can transfer ownership to another team member.
Understanding and using ownership transfer helps your team collaborate more effectively and keeps work moving when responsibilities change.
## Visibility tracking
Package visibility in folders depends on both the folder location and the package ownership.
If you are the owner of a package that is part of a folder, that package appears in the base filters on the sidebar. These filters include categories such as **Standard**, **Live**, **Drafts**, and **eNotary RON**, making it easy to access and manage your documents from the main interface.
If you are **not** the owner of a package within a folder, the visibility works differently. Whether you are the owner of the folder or just a member, you cannot access the non-owned item through the base filters on the sidebar. Instead, you need to go to the specific folder where the item is located to access it.
This approach gives you visibility into folder contents while keeping direct editing and management rights restricted to the package owner. It helps balance collaboration, accessibility, and control within Snapdocs RON (formerly Pactima).
